Use case

A client portal on your own server

A client portal is one private place where each client receives your documents and sends you theirs.
With FileRun it runs at your address, under your name, on a server you control.

What most organizations use today

A rented portal

Your clients sign in on the provider's website, under the provider's name.
The documents stay on servers that neither of you controls.

E-mail attachments

An attachment is copied to every mailbox it passes through, and nobody knows which version is the last one.
There is no record of who opened what.

What makes FileRun a client portal

These are standard features. There is no portal edition to buy and no module to add.

For your clients

  • Share a folder with an e-mail address. FileRun creates a guest account for that person and sends the invitation.
  • The link in the e-mail signs the client in. There is no password to remember and nothing to install.
  • A client sees only what was shared with them. Your other clients, your other users and your other folders stay hidden.
  • File requests: a folder shared with the Uploader role only accepts uploads. The client adds files, but cannot open or download the files that are already there.
  • Office documents, PDFs, images and video open in the browser. The client needs no program to read what you send.
  • The interface is translated into 35 languages.

For you

  • Choose what each client may do: view, comment, or upload.
  • Protect a link with a password, an expiry date, a download limit, or terms to accept before downloading.
  • Get an e-mail when a client uploads or downloads a file. Follow a folder to be told about every change inside it.
  • Every download, upload and sign-in is recorded with the user and the IP address.
  • A guest account is deleted when its last share is removed, and after a period without use that you set. No old accounts remain open.
  • A client who works with you every day can have a full account instead, with a storage quota, an end date and desktop sync.

A portal that is really yours

Your address and your name

Clients open files.yourcompany.com, not our website.
Your logo, your colors and your own wording are on the sign-in page, in the interface and in every e-mail FileRun sends.

Your server and your rules

The documents stay on your server, in your country, as normal files in normal folders.
No third party stores them, reads them, or decides how long they are kept.

The sign-in you already have

Your own staff sign in with Active Directory, LDAP, OpenID Connect or SAML.
A second factor is on by default, and administrators can make it required.

Also for a single project

A sale, an audit or a funding round

Put the documents in one folder, invite the advisers of the other party as guests, and remove their access when the work ends.
The activity log shows who downloaded each document.

Know the limit before you start

A person who can view a document in FileRun can also download it, and FileRun does not add watermarks.
If your process needs either of these, FileRun is not the right tool for it.

Common questions

Do my clients need an account?

No. A person who opens a link needs no account. For a client who returns often, a guest account is better: each action is recorded under that person's name, and you can remove the access of one client without changing anything for the others.

Can one client see the files of another client?

No. A guest has no folder of their own and sees only the items that were shared with them. You can also hide all other users from an account, so that a client never sees the names of your other clients.

Can clients edit the documents I share?

Guest accounts are read-only, apart from uploading. A client who has to edit documents together with your team needs a regular user account. A regular account can be given the Editor role on one folder and nothing else.

How long is the record of downloads kept?

You decide. A new installation keeps the activity log for seven days. One setting in the control panel keeps it for any number of days, or without limit.

Can the portal carry only our name?

Yes. The logo, the colors, the application name and the wording can all be replaced, and the desktop and mobile apps can carry your branding too. See how branding works.

Invite your first client

Put FileRun on your own server with a free trial license, and share one folder with one client.
Or open the live demo, where you are signed in as the administrator with no sign-up.

Other uses: document management and an FTP replacement.
